Job Description

Description Sun World is seeking a Licensing and Office Administrator to join the team in Bakersfield, California. This position will manage licensing files, reports and provide general administrative support. The ideal candidate will have excellent written and verbal communication skills with strong attention to detail. The successful candidate will be well organized and committed to meeting critical deadlines. MAIN DUTIES: • Create and maintain domestic and international agreements or related documents under supervision and in accordance with regional regulations and best business practices. • Manage, create and maintain the collection and record keeping of (a) Royalty Reports, (b) Invoices, (c) Requests for Billing for all Domestic and International Fruit and Propagation Fees. • Create and/or maintain a variety of reports, analysis, projections and documents related to licensing, royalties, expenses, budget tracking and proprietary plant inventory. • Coordinate and attend company events independently or in a team environment, as needed. • Provide general administrative support and office management duties in support to the Licensing Managers: North America for Grapes & Citrus and as further directed by Licensing Managers or Vice President of Global Licensing. • Submit approved accounts payable to Finance Department for payment (S&T, local office supplies, other reimbursement cost). RESPONSIBILITIES: • Manage sensitive matters with a high level of confidentiality and discretion, especially decisions directly impacting the global operations of the company. • Oversee and maintain the Licensing Manager’s daily calendar of meetings and events. Skillfully organize complex calendars and align the availability of others to confirm scheduling of all types, resolving conflicts with respectful consideration and finesse. • Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects and other documents in support of objectives for the organization. • Collect receipts, prepare expense reports and process invoices. • Communicate directly and professionally with our Spanish speaking licensees. • Excellent communication and time management skills; proven ability to meet deadlines. • Ability to function well in a high-paced environment; performs additional duties as assigned. • Maintain the Licensing Manager’s directory of contacts. • Assist in preparation and publishing of digital & print presentation materials, slide decks, financial spreadsheets & charts, bound reports, etc. • Represent the company and the Licensing Manager in a positive light through great follow-through skills and sound judgment. • Meetings & event planning as assigned. • Provide front desk support welcoming visitors. • Collect all details and components to fully execute business contracts. • Maintain and procure office supplies for the Sun World Bakersfield Office. • Welcome all guests to the Sun World Bakersfield Office. • Prepare conference rooms and touchdown spaces for guests. • Maintain adequate inventory of office supplies, kitchen stock and promotional merchandise. • Ad hoc projects as assigned. PROFESSIONAL SKILLS & QUALIFICATIONS: • Bachelor's degree preferred. • A minimum of 5 years of related experience working in an Administrative Assistant role within an international environment preferred. • Advanced proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint, MS Teams) as well as DocuSign, Publisher, Adobe Pro and other software is required. • Ability to communicate effectively and professionally. Fluency in English and Spanish is required. • Fruit industry experience preferred. • Flexible hours as dictated by the needs of business for projects and meetings. • Ability to travel up to 5% of the time. COMPENSATION: • Target compensation range is $20 to $23 per hour plus a 10% target annual bonus. • Full benefit package including health, dental, vision and life insurance and 401K with match. • Amazing culture.
