Job Description

As the Executive Assistant, you will assist the General Manager and serve as the first point of contact for the Executive Office. You will be responsible for keeping the General Manager’s calendar in order; booking, changing and/or cancelling appointments; taking notes or minutes in various meetings; assisting with emails, calls and voicemails; and any other duties as assigned by the General Manager. You will also take ownership in helping create a positive memorable experience for guests; listen attentively to guests’ desires/needs to present room accommodations options; make note of any special requests to delight our guests; and, when necessary, enter group rooming lists into the front desk system as well as assist at the front desk. Confidentiality and discretion are key in this position as you will be working closely with private company information. The ideal candidate will have prior experience in a similar role and has previous hospitality experience is preferred. Demonstrated proficiency in guest services and ability to provide exceptional and memorable guest experiences.

ESSENTIAL FUNCTIONS:

Open, read, and prepare answers to routine letters.
Locate and attach appropriate files to incoming correspondence requiring replies.
Take and distribute meeting minutes to appropriate individuals.
Maintain General Manager’s calendar, voicemail system, etc.
Handle and distribute incoming and outgoing mail.
Create and maintain computer\- and paper\-based filing and organization systems for records, reports, documents, etc.
Transmit information or documents using a computer, mail, or facsimile machine.
Prepare letters, memos, and other documents using word processing, spreadsheet, database, or presentation software.
Enter and retrieve information contained in computer databases using a keyboard, mouse, or trackball to update records, files, reservations, and answer inquiries from guests.
Operate standard office equipment other than computers such as telephone, typewriter, fax, photocopier, calculator, and electronic peripherals.
Document and communicate all guest requests/complaints to appropriate personnel.
Develop and maintain positive working relationships.
Comply with quality assurance standards.
Follow company and department policies and procedures; report accidents, injuries, and unsafe work conditions to manager; ensure uniform and personal appearance are clean and professional; wear nametag; maintain confidentiality of proprietary information; protect company assets.
Follow property specific procedures for handling emergency situations (e.g., evacuations, medical emergencies, natural disasters).
Stand, sit, or walk for an extended period of time.
Have access to reliable transportation and follow attendance policy
